Small office moves

An office move fails when movers treat business equipment like household boxes. We plan it around your working hours — usually a weekend — so that Monday morning nobody is looking for their monitor.

We survey on video during the week, agree a written price, and then move you outside business hours — Friday evening into Saturday is the usual shape, so that Monday morning starts in the new office rather than around boxes.

IT comes out last and goes in first. Screens, docking stations and cables are photographed as they are unplugged, and cables are bagged and labelled per workstation. Reconnecting is the part that costs a business real money, and it is the part most likely to be done badly by people who move flats.

Every desk gets a number, every box and chair gets the same number, and the floor plan of the new office is agreed before the day. Nobody should be standing in a corridor on Saturday afternoon deciding where accounting sits.

What a small office move looks like

Five workstations, a meeting table and a couple of cabinets is half a day. This is the size where a business often tries to do it themselves with staff and a rented van, and it is usually a false economy once you count the Monday spent recovering.

Ten to twelve workstations with a server cabinet and a kitchen is a full day, sometimes split across Friday evening and Saturday.

A shop or studio is a different job again: stock, shelving and fittings rather than desks, and the constraint is usually the delivery window of the shopping street rather than the volume.

The paperwork side, which for a business is the point

You get a proper invoice with your company's NIF on it, which is what makes the move a deductible expense. This is not a detail — a business cannot put an undocumented payment through its accounts at all.

Payments of 1,000 € or more involving a business have to be made by traceable means rather than cash under Portuguese tax law, so an informal crew is not actually an option for an office move of any size, whatever it appears to cost.

Goods-in-transit insurance covers the equipment in the same way it covers household furniture, and we will send you the policy limit before you book. For a floor of monitors and laptops it is worth reading rather than assuming.

What we do not take on: server racks that need decommissioning, anything requiring an electrician, and archive storage. We will say so at the survey instead of discovering it on the night.

Can you work outside business hours?
That is how most office moves are done. Friday evening through Sunday is the usual window, at no extra charge.
Will we get an invoice for the company?
Always. We are a registered Portuguese company and every job is invoiced, which also means the expense is deductible for you.
